Rental move-in inspection checklist

Record the condition of a rental on the day you move in, so existing marks are not blamed on you when you move out. Use the list below on paper, or open the interactive version to tick items on your phone and turn them into a report in English or Chinese.

Before you start

  1. Ask for the landlord's or agent's inventory and read it before you start.
  2. Charge your phone and turn on the date stamp in your camera if it has one.
  3. Take wide photos of every room first, then close-ups of anything damaged.
  4. Photograph meter readings and count every key and fob.
  5. Send your report in writing (email) within the time your lease allows, and keep the sent copy.

Why it matters

Deposit disputes usually come down to evidence. In the UK Tenancy Deposit Scheme's 2024/25 data, the most common issues in disputes were cleaning (54%), damage (49%) and redecoration (31%). Dated photos and a written report from move-in day are your strongest evidence.

Questions

How long do I have to send a move-in report?

It depends on your lease and local rules — many leases give a few days. If yours doesn't say, send it as soon as possible, ideally the same week.

Do I need the landlord to sign it?

A signature is ideal but not always possible. An email with the report and photos attached gives you a dated record either way.

Is this a legal document?

No. It is your own record. It does not replace your lease, an official inventory or legal advice.
